Free-cancellation hotel booking for a visa: read the fine print

How to compare cancellation deadlines, guest details and stay dates before requesting hotel proof for your application.

Free cancellation has a deadline

A free-cancellation rate normally allows a penalty-free change only until a stated cut-off. The time and date can be based on the property's local time. After that cut-off, a fee or the first night's charge may apply. Read the actual property's terms, payment conditions and cancellation instructions before relying on it.

Check that the reservation is real

The confirmation should come from an actual property or booking platform and show the property, dates, guest details and issued reference. A marketing screenshot or fabricated confirmation number is not a booking. Confirm availability and cancellation terms before an order is treated as complete.

Fit it to your application

Choose check-in and check-out dates that follow your flight plan. Add the names and number of guests accurately. Keep the confirmation active while the application is submitted if the checklist calls for confirmed accommodation. If your plans move, follow the property's change rules and update your application evidence as appropriate.

Requirements vary by destination and visa category. Check the relevant embassy or consulate’s current checklist. A reservation is not a paid ticket, is not valid for travel, and does not guarantee a visa.
